OC NAON Chapter Event Code of Conduct and Participation Agreement


Purpose

The Orange County Chapter of the National Association of Orthopaedic Nurses (OC NAON Chapter) is dedicated to providing a safe, professional, respectful, and pleasant event experience for all participants. The OC NAON Chapter is committed to fostering an environment that supports education, networking, collaboration, and professional development.


All participants, including but not limited to attendees, speakers, sponsors, exhibitors, vendors, guests, and event staff, are expected to adhere to this Event Code of Conduct. This policy applies to all OC NAON Chapter meetings, conferences, educational programs, workshops, social events, and other Chapter-sponsored activities, whether conducted in person, virtually, or in a hybrid format.


Expected Conduct

Participants are expected to:

  • Treat all attendees, speakers, sponsors, exhibitors, volunteers, and staff with professionalism, courtesy, and respect.
  • Contribute to an inclusive and welcoming environment for all participants.
  • Respect differing viewpoints and experiences.
  • Comply with all applicable laws, venue policies, and instructions from OC NAON Chapter representatives.
  • Conduct themselves in a manner that does not disrupt educational sessions, exhibits, meetings, or networking activities.


Prohibited Conduct

The following behaviors are not permitted and may result in removal from the event without refund:

  • Harassment, discrimination, intimidation, or bullying of any kind.
  • Verbal, physical, or written conduct that creates a hostile, offensive, or unsafe environment.
  • Inappropriate or disruptive behavior that interferes with presentations, discussions, exhibits, or event operations.
  • Unauthorized recording, distribution, or reproduction of educational content.
  • Any conduct that violates applicable laws or venue policies.



Photography, Recording, and Intellectual Property


Attendee Photography

Personal photography is permitted in common public areas outside of educational sessions and within the exhibit hall, provided such photography does not interfere with exhibitor operations or other attendees' participation.


Program Content

All educational presentations, program materials, handouts, recordings, slides, and other conference content are the intellectual property of the OC NAON Chapter and/or the respective presenters. Program content may not be recorded, copied, reproduced, shared, distributed, published, or otherwise disseminated without the prior written permission of the OC NAON Chapter.


Event Photography and Recording

The OC NAON Chapter may photograph, videotape, livestream, or otherwise record any meeting, conference, educational program, or Chapter event.


By registering for and attending an OC NAON Chapter event, each attendee grants the OC NAON Chapter the unrestricted right and permission to record, photograph, use, publish, reproduce, distribute, display, transmit, and otherwise utilize the attendee's name, image, likeness, voice, statements, and appearance in any form of media, whether now known or hereafter developed, including but not limited to:

  • Photographs
  • Video recordings
  • Audio recordings
  • Live and recorded broadcasts
  • Electronic reproductions
  • Websites and social media platforms
  • Marketing and promotional materials
  • Educational publications and communications


These rights are granted in perpetuity, and on a royalty-free basis for any lawful purpose of the OC NAON Chapter.



Registration Agreement

By registering for an OC NAON Chapter event, participants agree to abide by the OC NAON Chapter Event Code of Conduct and acknowledge and accept the following terms:


Photography and Media Release

Participation in any OC NAON Chapter educational event, meeting, conference, or related activity constitutes the attendee's consent to the use and distribution of the attendee's image, likeness, and voice in photographs, videos, recordings, broadcasts, and electronic reproductions of such events by the OC NAON Chapter.


Cancellation and Refund Policy

  • Registrants may receive a full refund if a written cancellation request is received at least ten (10) days prior to the event date.
  • Refund requests received fewer than ten (10) days before the event will not be eligible for a refund.
  • Failure to attend an event ("no-show") is not eligible for a refund.
  • The OC NAON Chapter is not responsible for reimbursement of travel, lodging, meals, transportation, or other expenses incurred by attendees due to event cancellation, rescheduling, or non-attendance.


Assumption of Risk and Release

Each attendee, sponsor, exhibitor, speaker, and participant acknowledges that participation in an OC NAON Chapter event involves inherent risks, hazards, and dangers that may arise from, including but not limited to:

  • Travel to and from the event;
  • Transportation and handling of equipment and materials;
  • Attendance at event venues;
  • Participation in educational sessions, exhibits, networking activities, and related events; and
  • Risks of property damage, loss, theft, illness, injury, or other unforeseen circumstances.


By attending and participating, each participant voluntarily assumes all risks associated with attendance and participation and agrees that the OC NAON Chapter, its officers, speakers, sponsors, exhibitors, and representatives shall not be liable for any injury, loss, damage, claim, expense, or other liability arising from or related to participation in the event, except as otherwise required by law.


Enforcement

The OC NAON Chapter reserves the right to take appropriate action in response to any violation of this Code of Conduct, including but not limited to:

  • Verbal or written warning;
  • Removal from a session, activity, or event;
  • Revocation of event registration or credentials without refund;
  • Exclusion from future OC NAON Chapter events; and
  • Referral to venue security, law enforcement, or other appropriate authorities when warranted.

The OC NAON Chapter is committed to maintaining a professional, respectful, and enjoyable environment for all participants. By attending any OC NAON Chapter event, participants acknowledge their responsibility to uphold these standards and contribute to a positive experience for all attendees.
